What Did We Agree at the Fitting? AI Notes That Keep Sample Decisions Clear
“Try the shorter sleeve.” “Only on the next sample.” “And leave the cuff unchanged.”
Three comments, one fitting session. Compress them into “shorten sleeve and cuff” and the next sample starts with a mistake nobody intended. A useful application of AI is not to make the design decision, but to preserve the difference between what was observed, suggested and approved.
From speech to a record people can challenge

Give the recording a clear beginning
With participants’ agreement, identify the sample, version and review purpose at the start. Say whether the garment is a men’s shirt, a men’s kurta or a boys’ kurta. Do not let a filename such as “blue sample final” carry all that responsibility.
Record only what the review needs. Explain who will access the recording and how it will be retained. A session involving a child requires particular care and appropriate guardian involvement; an adult garment review is not a template for recording children.
If someone points to “this seam”, add a spoken location or an approved reference photograph. Transcription cannot recover the meaning of a gesture that was never captured.
Use four headings instead of one summary
Observation
Record what someone noticed and under which condition. “Wearer reported pulling when reaching forward” is more precise than “bad fit”. Retain the wearer’s words where their meaning matters.
Proposal
Capture an option being discussed without promoting it into an instruction. A suggestion to investigate an armhole adjustment is not an approved new measurement.
Decision
State the action only when it was actually agreed, including which sample it applies to. If the discussion ended without agreement, write “unresolved” rather than choosing the most recent suggestion.
Owner and next check
Identify who will confirm the change and what must be reviewed next. Do not assign a task to the nearest speaker merely because the model connected their name with a sentence.
The small words deserve the closest review
In a hypothetical shirt fitting, “do not change the collar” must remain a prohibition. In a kurta review, “check the hem after the next sample” must not become permission to alter every production garment.
Listen back wherever negations, measurements, units or approvals appear. If the audio is unclear, ask the participants to resolve it. An elegant summary containing an invented number is less useful than a visibly incomplete note.
Also separate garment versions. A comment made while discussing the first sample should not silently overwrite the approved direction for the second.
A prompt for the review assistant
Use: “Turn this checked transcript into observations, proposals, explicit decisions and unresolved questions. Preserve sample identifiers, units and negations. Attach the relevant transcript passage or timestamp to each decision. Never invent measurements, deadlines, names or approvals.”
Have the responsible reviewer approve the resulting notes before they become production instructions. Keep the source available to authorised people so disagreements can be resolved against the discussion, not against a polished paraphrase.
After the next fitting, close each issue deliberately: resolved, still open or superseded by a documented decision. This creates continuity without asking the AI to decide whether the garment is ready.
